Podcast Quick Publish Guide
A quick guide on how to publish a podcast in Nexus (with links on how to make changes and publish and Grove!)
1. Input the necessary text metadata
- General Properties
- Headline: RSS Feed title of the episode
- Description: RSS Feed description of the episode
- Users and Roles: Setting bylines to send to Grove and publish. This can also be done in Grove.
- Images: If adding image(s), click on the image file from the asset list (on the right side) and add the following:
- Caption
- Credit
- Alt Text
- Source
- Copyright Holder
2. Add the finished audio asset to your "Full" media experience
Upload either to the episode card assets or to the full media experience directly. From there, the Media Experience State (MX State) will update to Media Ready when ready for ad tagging.
If publishing a channel trailer or Bonus Plus Only, you will drag your audio asset to those Media Experiences instead. Read more on Media Experiences here.
3. Add any mid roll tags needed for the episode
Open the Media Experience in the Midroll Tagger pane and add the locations where ads are expected to play.
- Adding tags for midrolls can be done in two ways:
- Adding the times explicitly in the input to the left
- Clicking the green pindrop at the bottom when the playhead is set to the location of the expected ad break
- Traversing the timeline can be done by:
- Two finger drag or scroll along the timeline
- Using left and right arrows next to green pindrop
- Setting the playhead
- Double clicking within the timeline
- Pausing/playing can be done with the space bar
4. Review audio with ad tags, approve
Once the audio has been saved with the expected ads, review once more to confirm the quality. On the Media Experiences pane, open the asset details by clicking on the filename within the media experince. Set the MX State to "Approved". Please note - if the audio is approved with a number of ad slots different from expected, a notification will be sent out to NPM and podcast tech leads.
5. Upload/Deliver the audio
This is equivalent to the Seamus upload tool
On the asset details view of the Media Experience pane (view media experiences, click on the filename of the experience you want to delivery), upload/delivery can be kicked off by clicking "Preview Media Experience Delivery" on the same asset details view and clicking "Deliver".
This must be done before publish. PEP publish will not complete without a primary media experience delivery.
Delivery may take a few moments - skip ahead to PEP prep and come back to review the status of delivery.

6. Review and edit PEP (podcast episode presentation) as needed
Once all the media is delivered, the PEP can be filled out with the required fields:
- Title: Change if wanting NPR.org page title to be different from RSS Feed Title
- Description: Change if wanting NPR.org page to be different from RSS Feed Description
- Subtitle: Display of small text below headline on the NPR.org page, optional to publish
- Apple Podcast Block: Preventing delivery to Apple Podcast platform
- Render PEP: Turn to false if the presentation does not need to render on NPR.org (for example, for a Plus Only episode)
- Brandings: Other brands associated with the episode (for example: Lost Patients with KUOW)
- Media Experience: Select the media experience(s) to publish with the presentation. Only delivered media experiences can be published
- Images: Select the image(s) to publish with the presentation
- Square: Displays on Apple and RSS if wide not set
- Wide: Default for display on the NPR.org page and RSS Media Thumbnail
7. Publish PEP - either scheduled or ASAP - with or without edits in Grove
Publishing and scheduling can only happen when the primary audio (ex: full episode, trailer, bonus plus only) is delivered. If there is no media experience checked on your PEP, the PEP will not schedule/publish
If making any changes in Grove (adding to the body, updating the SEO title, adding aggregations like section or tags), click "Save to Grove" to create the Grove draft then "View in Grove" to make the edits.

If no edits are needed in Grove, the presentation can be published or scheduled from Nexus. To publish, simply click the "Publish" button at the bottom of the PEP (Podcast Episode Presentation).
To Schedule, click the arrow next to the publish button, click schedule then use the schedule clock (operating in military time). A confirmation of schedule time will appear. No need to ever press "publish" if scheduling.
